Email Marketing and Communications Terms
How we email website visitors, prospects and clients, and how to change what you receive.

Vortox Lab is a remote-first growth partner for the green industry and works with clients internationally. We do not operate a public office or customer visit location. All contact is handled through the details on this page.
What these terms cover
These terms explain how Vortox Lab communicates by email with website visitors, prospects, clients and business contacts. They cover enquiry responses, proposals, service messages, billing notices, resource delivery, newsletters and promotional marketing.
Service and transactional email
When you contact us, request an audit, book a meeting, download a requested resource, approve a proposal or become a client, we may send messages needed to respond and manage that relationship. These may include confirmations, meeting details, proposals, onboarding instructions, approvals, project updates, security notices, invoices and account information.
You cannot opt out of communications that are reasonably necessary to deliver an active service, process a transaction, protect an account or comply with law. You can ask us to change the contact person or communication method where practical.
Promotional marketing
We may send occasional email about Vortox Lab services, guides, webinars, packages and relevant green-industry growth topics when we have consent or another lawful basis and electronic marketing rule that allows it. Providing an email for an enquiry allows us to answer that enquiry. It does not by itself require you to accept unrelated marketing.
For forms intended to add someone to marketing, Vortox Lab should use a clear, unticked choice such as: "Send me occasional marketing emails from Vortox Lab. I can unsubscribe at any time."
Business contacts
Rules for business-to-business email can differ depending on the country and whether the recipient is a company, partnership, sole trader or individual business contact. We will use business contact data only where we can identify a lawful basis, provide required privacy information and offer a clear opt-out. We do not treat a business email address as permission to send unlimited or irrelevant messages.
What a promotional email will include
- Accurate sender and subject information.
- A clear identity for Vortox Lab.
- A working unsubscribe method.
- A valid postal address where applicable law requires one. Commercial email templates must carry a legally valid business postal address.
- Any disclosure needed for advertising, sponsorship or an affiliate relationship.
Unsubscribe and objections
You can unsubscribe from promotional email through the link in the message or by contacting hi@vortoxlab.com. We will stop promotional email within the period required by applicable law and as soon as reasonably practical. We may keep a limited suppression record so that your request is not accidentally reversed.
Unsubscribing from marketing does not prevent necessary service, security, legal or billing messages connected to an active enquiry, contract or account.
Email tracking
Our email platform may use pixels, tracked links or delivery logs to measure whether a message was delivered, opened or selected. We use this information to manage deliverability, understand interest and improve communication. Tracking will be used only where permitted, disclosed in our Privacy Policy and configured with appropriate consent or controls where required.
Frequency and relevance
Promotional frequency may change around service launches, webinars, seasonal planning or important updates. We aim to keep messages relevant to landscaping and green-industry growth. A recipient can unsubscribe at any time.
No call recording
Vortox Lab does not currently record calls through its own sales process. If that practice changes, we will update the relevant notice and provide any disclosure or consent required by law. A client or third-party platform may have separate call practices that it controls.
Forwarding and sharing
Email content may contain confidential, copyrighted or time-sensitive material. A recipient should not forward client-specific proposals, access details or confidential project messages without permission. Public guides and newsletters may be shared unless they state otherwise.
Changes to these terms
We may update these terms when our email platform, marketing practices or legal obligations change. The effective date at the top identifies the current version.
